Just about everything we do costs something, which requires a budget in order to be a good steward of the resources. First thing I would do is set up an excel or numbers sheet and input line items for expenses. [ I'm attaching this year's SC budget for you to see] After I have all my estimated and actual costs I then break it down in three scenarios. This year I built it for 15, 20 or 25 paying students. Now the hard part... stick to the budget. As far as your other questions, I always ask myself if I need to spend money on this or if I want to spend money on this... it helps be a better steward of our finances.

I guess it depends on what all you are wanting/planning to do and how large your group is. I am the youth leader at a small church and we don't receive any funds from the church. Everything we do is fundraised or we charge for it. I create my summer schedule with whatever funds we have left in mind and also have a column on the spreadsheet with cost per person(that I send out to all the parents) That way the parents know right away the cost of all the events and can budget accordingly. I also save alot of props and materials that we use through the year so we can use them again. This is also a great time to reach out to people in the church if you need more than what you have to provide scholarships. Hope this helps. Good Luck!
