I use Numbers on Mac and just make personal accounts for students. I am pretty simple...and cheap...

Our church uses Servant Keeper that has each person on it. I add their payment to their account.
then i double the effort on an excel spread sheet with more details.
name, date paided, check number and a comment

we print up copies and make envelopes to collect the money. the envelops have a bunch of info on them that correspond with an excell sheet we set up. We make a file for each student including pics. We then staple that envelope to the file and continue to track each payment and what is owed!
A system my way over OCD accounting friend developed!

I used Excel, but now that I am a Director of Sales and have been introduced to so many different levels of databases I would probably go a little over kill for a youth ministry by using a professional CRM (Customer Relations Management) database.

I'm another YouthTracker guy. It makes it easy to keep track of payments for many events at one time.

Plus they have great communication tools like email, texting, and more.

It is amazing how much this program does for the youth worker. Check it out.

we use excel and we photocopy all the checks (make sure to shred after the accounting is done) or receipts for cash payments. that we know who paid what and when and we don't have to bother the accountant.

We use a program at www.youthtracker.net that allows us to collect payments online and keeps track of payments, forms, etc. Well worth the price to me.
I also have an assistant that keeps track of all our events.

I simply use excell, it isn't that hard to set up and takes very little time.

I fortunately hand all that kinda stuff over to the youth administrative assistant here at church, but if I was in charge of it, I'd probably use Excel (or, more accurately, Google Spreadsheets).
